Importing E-mails Into Slate

Slate allows you to easily attach an e-mail from Outlook to the applicant or prospective student’s Slate record using the Email to Slate Gateway feature or the Microsoft Outlook Add-In feature. This article describes both methods.


Email to Slate Gateway (BCC)

This method is generally more trouble-free and compatible with different computers (Windows/Mac) and does not require any special software to be installed on your desktop/laptop in order to make it work.

  1. Go to Database à Communications à Inbox Gateway and copy that e-mail address:
    • That e-mail address is unique per user and tied directly to your personal Slate account. 
    • You can include it as a BCC on your replies to applicants or prospective students. 
    • One recommended method is to add it as a Contact in your Outlook and name it “Email to Slate Gateway”, then just BCC that anytime you reply to an applicant/prospective student.
  2. Return to Inbox Gateway via the Wheel (Database) OR Deliver>Gateway Inbox
  3. Finally, click on any of the e-mails you’ve sent there and to assign them to the appropriate applicant/prospective student in Slate:
    • It can take up to 15-20 minutes for the e-mail to show up in the Gateway Inbox from when you initially sent the e-mail with the BCC, but should generally happen quicker than that.


Microsoft Outlook Add-In (Legacy tool and may retire soon)

Note: This method is not compatible with Apple/Mac. If you are on a Mac device, you must use the Email to Slate Gateway method listed above.

Additional note: If you are using Windows 10, you will need to install the Microsoft .Net Framework from the Software Center prior to installing the MS Outlok Add-In from Slate. This will require you to reboot your computer. Contact DU's IT team (x1-4700) if you need help with installing Microsoft .Net Framework. 


Part A: Installing the Add-in (one-time)

  1. Go to Database à Messages à Microsoft Outlook Add-in:
  2. A small executable (.EXE) file will download. If you’re using Google Chrome, it will show up on the bottom left corner of the screen:
  3. Click to run it and click Next and Finish through the entire process to install it.
  4. Restart Outlook on your computer


Part B: Using the Add-in

  1. Click on the message you wish to import into Slate. 
    • In OGE, we typically attach our responses to applicant’s questions/inquiries. For this we go into our Sent Items folder in Outlook to select messages. You can, of course, just attach the message the applicant sends from your Inbox. If you do that, it should automatically find and link the e-mail to the correct record.
  2. Click Add-ins  tab at the top
  3. Click the Technolutions Slate icon:
  4. A new window will pop-up. The first time you use it each day (or after a few hours of inactivity) you will need to enter gradadmissions.du.edu as the Domain and click Login:
  5. Enter your PioneerWeb username and password and click Login
    • Because this is a separate instance of Slate, it prompts you to login. As mentioned above, you should only have to do this once or twice per day.
  6. Click the Relink hyperlink:
  7. Start typing the first name, last name or e-mail* of the applicant/prospect to search for them. Then click on the correct record that pops up:
    • Are seven John Smith’s showing up? Which is which? We always recommend you type the e-mail address as that should tie directly to the correct Slate record
  8. Click Add to File:
  9. You’ve now successfully attached the message to the student record!
  10. View your message in the student record by searching for that person in Slate and clicking the Timeline tab and then Interactions on the right side:
