Assigning Multiple Applications to a Group of Faculty Readers

This document will teach you the recommended way to send a group of applications (per concentration or program for example) to a single reviewer or multiple reviewers. You’ll be using the Query tool for this. You will run the Query once applications have been assigned to you in the Department Administrator Review bin. The Query will aid you in moving them along to the Faculty Review bin in an efficient process.


In this example, I’ll be looking for applicants in the International Studies MA program that are ready to be sent to faculty. Before being sent to Faculty, it’s important to note that these students must already be in the Department Administrator Review bin (we’ll see that come into play later in the document).

  1. Log into Slate at https://gradadmissions.du.edu/manage
    • If prompted, enter your Pioneerweb credentials (87#)
  2. Select the Query / Reports icon(second icon from the left at the top):
  3. Click New Query button to create a Query that you can Save and run anytime (daily, weekly, hourly – whatever works for you!)
  4. The New Query box will pop‐up. Give your query a descriptive Name, save to a Folder (select your department at minimum), keep Type set to Local, set the Base to Applications (by College), and click Save button:
    • DO NOT check the Sharing option here. This will share your query with ALL users in Slate. To share your Query with just a single user or a group of users, you’ll do that on the next screen in Sharing Permissions.
    • If you created a new folder, it will appear on the right rail of the Queries area after you Save the Query. As you start creating different Queries for all the many functions in Slate, you may find this organization system helpful!
  5. This will bring you to the Edit Query screen. Here you will set the Filters and Exports that you can set for your Query. Start by clicking on the Export button on the right side:
  6. Click on the Export fields you’d like to include. For this Query, I selected Name, Application Status, Admit_Term, Program and Concentration. You can scroll down and select each one and also use the Search box at the top to find the Exports you’d like to use. Then click the Save button:
    • You’ll now see the Exports in your Query. You can reorder them as you wish by clicking and dragging or edit/remove them with the icons that appear on the right side. 
  7. Next, click the Filter button:
  8. Here you’ll think of the criteria you want to use to filter your results. For my example, I only want to see International Studies MA applications that are in the Department Administrator Review bin and are ready to be sent to faculty. So I’ll want to Filter on the following:
    • Tag: NOT IN Test Record
    • Program: International Studies, MA
    • Bin: Department Administrator Review

      You can use the Search bar in this screen to find those Filters and apply the specific criteria you want. You can also add Concentration, Location and other Filters as you find necessary for your own purposes.
    • Type the Filter in the Search box. For the first one, that would be Program. The results will display and we’ll select Program and click the Continue button below:
    • Here you’ll define the criteria on the Filter. I’m looking for International Studies MA, so I’ll start typing that in the search box on the left, then and select it from the list on the right, and click the Save and New button:
    • Now you’ll do the same thing with the other two filters (search Tag and Bin), selecting the appropriate criteria. On the final filter, just click the “Save” button to go back to the Edit Query screen and see your Filters:
  9. To run your Query, click the grey breadcrumb link with the name of the query at the top of this area:
  10. Click the Run Query button to display the results:
  11. You’ll now see all of the applications that meet that criteria. In order to send them on to faculty, select the Output option Bin from the drop‐down menu and then click the Export button:
  12. Select the following from the drop-down menus first to remove it from your queue:
    1. Queue Action = Clear Readers
    2. Click the “Update All” button to move the applications along
  13. Finally you’ll make the following settings to actually move the applications along to the next bin and assign them to the appropriate reviewer or reviewers:
    1. Bin Action = Set Bin
    2. Bin = Faculty Review
    3. Queue Action = Add Readers
    4. Add Reader = start typing the reviewer’s name and click on it when it appears. To add multiple reviewers, repeat this step.
    5. Click the “Update All” button when you are done:

These applications will no longer reside in your queue and they will be sent to the faculty for review.


Now that you’ve saved your Query, you can just log back into Slate anytime to access it and repeat steps 10‐13 to routinely move applications to faculty for review in your department.


These are general steps and if your process is a bit different, you can change the bin and other actions along the way (some people might find this useful to move applications to the Interview bin for example).
